Aditya Food & Events Pvt. Ltd. – Premium Wedding Planning & Event Management

Payment Schedule

30%
1st Advance

Non-refundable, due at the time of booking to secure your event date and initiate planning.

40%
2nd Advance

Due 45 days prior to the event date to confirm all arrangements.

30%
Final Payment

Remaining balance payable on the day of the event.

For any external agencies/vendors involved, full payment must be made on the day of the event.

Section 1 |

Booking & Payment Terms

A non-refundable advance payment of 30% is required at the time of booking to secure your event date and initiate planning.

A second payment of 40% is due 45 days prior to the event date to confirm arrangements.

The remaining 30% balance is payable on the day of the event.

For any external agencies/vendors involved, full payment must be made on the day of the event.

COVID-19 & Force Majeure Policy

In the event of government-mandated restrictions (e.g., due to COVID-19), your event may be rescheduled without additional charges, provided the same vendors and agencies are retained.

Should any vendor or agency be changed due to rescheduling, any cost variations will be borne by the client.

If an agency cancels due to COVID guidelines, the client remains liable for 100% of the contracted amount.

Section 3 |

Agency Management & Responsibilities

If any confirmed agency must cancel after finalization, the client is required to inform us within 6 days of the event booking.

A maximum of four strategic planning meetings will be conducted after confirmation of five events, scheduled at the discretion of the company.

Agencies must be present and prepared at least 1 hour prior to the event start time and must adhere strictly to arrival and departure schedules.

Section 4 |

Accommodation & Hospitality

Clients are responsible for providing accommodation and meals for all outstation agencies and performers.

The core event management team will require 4 rooms with full board (meals included) for the duration of the event.

Transportation for outstation agencies is to be arranged by the respective vendors themselves.

Section 5 |

Staff Safety & Conduct

Safety and discipline of all event staff — both local and outstation — will be coordinated by the event company. However, all parties must ensure responsible behavior and cooperation.

Staff will be deployed strategically to ensure a smooth, disruption-free experience for family members and guests.

Section 6 |

Scope of Work & Communication Protocol

Any requests beyond the initially agreed event scope will be evaluated and implemented only upon approval by Mr. Aditya Maliwal (+91-98291-07055).
